Activon is the trading name of Activon Limited and its subsidiary companies.

Data Controller

Activon is registered as a Data Controller with the Information Commissioner’s Office, registration number ZA468721.

Our Data Protection Officer is Scott Bickerton, and you can email privacy@activon.co.uk with any data-related queries, concerns or complaints.

What personal data we collect and why we collect it

We collect only the data which is required to provide our services, and to ensure the security of our business.

Cookies

We do not use cookies on the public areas of our website, nor do we collect any personal information on this website unless you use one of the links on the site to email us.

Existing clients and suppliers who have access to any of our online collaboration tools can find details of the appropriate data policy in their Services Agreement.

Names, Contact Details and Notes

When we engage in business correspondence, we may save the contact details from your email footer, business stationery or business card in our internal systems. The source of this information will generally be the person to whom the data relates, however we do sometimes receive commercial recommendations from third-parties which include contact details.

Call Recordings

All calls to and from our offices are recorded. These recordings are stored for quality purposes, and may be reviewed where there is a need to subsequently verify the details of any telephone discussion in the event of a dispute or misunderstanding. This is also to protect us against scam callers, as in our experience most non-genuine callers hang up as soon as our notification of call recording is played.

Where order or contract details are discussed by telephone with a client or supplier, the recording may be stored in the client or supplier record alongside relevant documentation

Dash Cams

Activon vehicles are fitted with audio and video recording devices. Upon the request of a passenger, audio recording may be switched off by the driver, for example if the passenger needs to use their own phone during the journey.

Building Access and CCTV Systems

Activon locations are protected by Access Control and CCTV systems which may capture audio and video recordings, and record the use of staff and visitor passes on our premises.

Who we share your data with

We do not sell your personal data in any form, and we do not otherwise share your information with any third parties, unless this is necessary in order to provide our services, or there is a legal requirement for us to disclose your information to a third party.

Staff, Contractors and Agents

If you are a client, supplier or contractor, we may share your contact details with those who require it for the provision of our services – for example to arrange delivery of an item to site, to arrange site or system access for individuals, or to arrange business meetings.

How long we retain your data

Our business records are generally stored for up to seven years in our office, before being either destroyed or archived in accordance with statutory requirements and our internal retention policies.

Recordings of telephone calls are generally retained for 60 days, unless attached to a Supplier or Client record, in which case our standard business records retention policy applies.

We retain contact details of our professional network indefinitely unless we identify there is no longer a business need for the information, we become aware that it is outdated or inaccurate, or an individual or organisation requests that we delete specific personal information from our systems.

What rights you have over your data

You may request to receive an exported file of the personal data we hold about you, including any data you have provided to us. We generally have no more than 30 days to provide this information under Data Protection laws, although we aim to provide this information promptly if it is requested.

You may also request that we erase any personal data we hold about you, however we are not obliged to delete any data we require to keep for administrative, legal, or security purposes – e.g. we may agree to delete your contact details from our electronic directory, but existing paper documents containing your contact details would continue to be stored without redaction.

How we protect your data

We operate multiple layers of physical and electronic security to protect our business data, in both physical and electronic forms, and carry our vetting of our staff and contractors including criminal record checks before allowing access to customer data.

Our systems are configured to the rule of least privilege, meaning that data is only made available to those who require it to do their job.

We operate network and computer security systems to protect the confidentiality and integrity of data held on our systems.

Visitors to our premises are escorted at all times when in the production office areas, and do not have access to customer information unless there is a genuine business justification.
